Ready to make a difference behind the scenes?  Bring your energy, attention to detail, and love for smooth workflows to our team! As our Operations Assistant, you’ll help support the financial and administrative processes of the Eastern Oklahoma Library System.

Key Responsibilities
Financial Operations:
• Accounts Payable: Process and verify vendor invoices for accuracy and proper authorization, ensuring all records are maintained in accordance with library policy.
• Payments & Reconciliations: Prepare and post checks and electronic payments, and reconcile postage and credit card account statements.
• Reporting & Compliance: Assist with month-end and year-end closing activities and ensure all tasks comply with accounting standards, internal controls, and library policy
• Documentation: Securely handle vendor W-9 documentation and maintain purchase orders and received documentation.
• Communication: Serve as a professional point of contact for staff and vendors regarding billing questions or discrepancies.
Facility Management & Support:
• Board Support: Coordinate communications, schedules, and calendars for the Board of Trustees.
• Visitor Relations: Act as a professional and welcoming first point of contact for visitors, staff, and vendors.
• Office Oversight: Order and maintain office and janitorial supplies, and monitor building maintenance, safety requirements, and janitorial concerns.
• Organization: Maintain a highly organized filing system for the business office and all financial records.
 
Qualifications
• Education: A High School diploma or equivalent is required; an associate degree or comparable certification is preferred.
• Experience: Previous experience in accounts payable or bookkeeping is preferred.
• Skills: Demonstrated ability to meet deadlines, manage multiple tasks effectively, and maintain strong attention to detail and accuracy.
• Mindset: A positive attitude and a willingness to learn and grow within our team.
 
 
Position Details:
Full-time (40 hours/week)
Starting salary $35,214 – $43,000, based on experience
